Myfolder Space ("we", "us", "our") is an AI-powered academic workspace for students, researchers, and institutions. This policy explains what personal data we collect, why we collect it, who we share it with, and the rights you have over it.
MyFolderSpace OÜ is the data controller responsible for your personal data under this policy. We are registered in Estonia.
When you create an account, we collect your name, email address, and a securely hashed password (or, if you sign in with Google, the name, email, and Google account identifier Google shares with us). We also store your chosen role (student, researcher, institution admin), locale, and theme preference.
Documents, drafts, notes, uploaded files (PDFs, Word/PowerPoint files), flashcards, study plans, and conversations with our AI tools (AI Tutor, AI Solver, Research Sounding Board, Paper Breakdown, Writing Studio) are stored so you can access them later and so the product can function as a workspace rather than a stateless tool.
If you subscribe to a paid plan, payment is processed by Stripe. We never see or store your full card number; Stripe handles this under its own PCI-DSS compliant systems. We store only your subscription status, plan, and billing history metadata.
We log basic usage such as which tools you use, daily AI usage counts (to enforce free-tier limits), login timestamps, and referral/cohort relationships if you use those features.
If you share a document or file with another user, or join a cohort, we store the permissions and relationships needed to make that sharing work (who a document is shared with, at what permission level, and related comments or presence indicators).
Under the EU General Data Protection Regulation (GDPR), we rely on the following legal bases: performance of a contract (providing the service you signed up for), legitimate interests (security, fraud prevention, product improvement), consent (where you've explicitly opted in, such as marketing email), and legal obligation (such as retaining billing records where required by law).
We use a small number of specialist providers to run the service. We do not sell your personal data to anyone.
Some of the providers above (including Google and Stripe) may process data outside the European Economic Area. Where this happens, we rely on the provider's own GDPR-compliant safeguards, such as the European Commission's Standard Contractual Clauses.
We keep your account and content for as long as your account is active. If you delete your account, we delete your personal data and content within a reasonable period, except where we're required to retain certain billing records by law, or where content remains in another user's workspace because you shared it with them.

If your account is enrolled under an institution's license, that institution's administrators can see enrollment and usage-level information (such as who's enrolled and aggregate activity) through their institution dashboard, but do not have access to the private content of your individual documents, chats, or drafts unless you explicitly share them.
Myfolder Space is intended for users aged 16 and older. We do not knowingly collect personal data from children under 16. If you believe a child has provided us with personal data, contact us and we will remove it.
We use a small number of functional cookies: a session cookie to keep you logged in, a language preference cookie (mfs_lang), and a theme preference cookie. We do not use third-party advertising or tracking cookies.
We use encrypted connections (HTTPS), hashed passwords, and access controls to protect your data. No system is perfectly secure, and we encourage you to use a strong, unique password.
We may update this policy as the product changes. Material changes will be reflected by updating the effective date above; significant changes affecting your rights will be communicated by email or an in-app notice.
